POSITION PURPOSE
The Educational Programs Manager ensures the successful delivery of the technical training and other educational program offerings for the Boeing Collaborative Data-Driven Engineering Hub at the University of Washington, whose goal is to advance technical innovation and skills development in data-driven engineering. They provide project management support, manage interactions with professional learners, graduate students, and trainees, coordinate meetings and communications, and ensure successful execution of all events and program offerings.

The Educational Programs Manager supports the delivery, review, and modification of the curriculum and training offerings in the area of data-driven engineering and artificial intelligence. They work closely with the Hub Director, faculty, and staff, as well as deans office staff. Offerings are developed in collaboration with the eScience Institute and may be offered jointly with other departments and programs; activities must be coordinated with AI Education Institute and Boeing Advanced Research Center.

The Boeing Collaborative Data-Driven Engineering Hub is a well-funded, high visibility effort of critical importance to the College of Engineering-Boeing partnership and the UWs relationship with Boeing.  This position requires an experienced project manager with a high degree of personal initiative who will oversee the development and delivery of the Hubs ambitious education plan and ensure the offerings are successful, of professional quality, repeatable, and sustainable. Programs will support the research efforts of 20+ faculty, 50+ graduate students and scores of undergraduate students and will train tens of thousands of Boeing engineers.

DUTIES AND RESPONSIBILITIES
Program Management (50%)
Establish and maintain effective program operations that contribute to achieving organizational goals; regularly evaluate and update for continuous improvement. Manage procurement and spending against budget and contribute to short- and long-term expense and revenue projections. Work with Assistant Director to ensure timely billing of clients and to facilitate instructor appointments, curriculum development fees, payments, etc. Communicate with instructors and assist with recruitment, hiring and onboarding as needed. Track data required for assessing program offerings and outcomes.
Help prepare recruitments plans to connect programs to relevant prospective students in graduate programs and professional communities and industries. Work with partnering programs to coordinate communications and calls for proposals, funding applications, or enrollments to broaden application pool. Help review program to improve quality, expand access, and continually respond to market demand.
Oversee course scheduling and development of the quarterly time schedule. Develop new course application materials and gather necessary approvals to add, change, and delete course offerings. Ensure web site or other communications are updated appropriately.
Serve as primary point of contact for design and execution of events, trainings, workshops, and information sessions with keen attention to detail. Develop meeting materials and oversee event logistics (reserving rooms, arranging food or catering, coordinating equipment, signage, and A/V support, and clean-up) or set up virtual learning environment. Manage correspondence and respond to constituent inquiries and requests.
Develop surveys and methods of collecting course evaluation data, both quantitative and qualitative.  Analyze data to assess program quality, demand, effectiveness, and relevance. Ensure that results inform marketing approaches and that key statistics, photos, and learnings are integrated into marketing materials. Make recommendations to improve student retention as well as the quality of student experience and learning outcomes to maximize academic and career success.
Support the development of new graduate programs or tracks, working with faculty and administrators in partnering units. Prepare or coordinate preparation of supporting materials according to Graduate School requirements and timelines. Coordinate activity of multiple authors to ensure timely submission.
Support development of an outreach program with regional and national visibility that sets the stage for center-level broader impacts activities, while supporting the broader educational mission of the UW. Develop methods of evaluating and documenting success and reach of the program, as well individual projects. Actively document and promote program successes (e.g., gather photos, stories, statistics for promotion in annual reports, newsletters, grant reports, and press releases) and replication.
Support community building, trainings, or other programmatic aspects of the graduate fellowship program.
Customer Relationships, Recruiting, & Communications (30%)
Manage program identity and marketing strategies, leveraging knowledge of faculty, staff, and subject matter experts. Identify competitors, customer targets, and market segments to create effective value propositions and inform marketing strategies. Manage program communications and implementation of marketing plan in coordination with Director, creating or leveraging existing channels as appropriate. Coordinate development of branding, identity, and messaging, working with external contractors as necessary to create promotional materials and collateral.
Oversee customer relations and communications. Create plans, programs, and tools that build and support strong relationships as well as exceptional customer service and user experience.  Implement policies and procedures to manage issues and promote activities. Respond to constituent inquiries and requests.
Develop, write content for, and maintain promotional materials, products, web pages and social media.  Review materials and presentations for publication and distribution, ensuring consistency of style, design, accessibility, and learner-centered focus. Adapt education, outreach, and research content to convey mission to university, government, and industrial sponsors in a way that promotes engagement and constructive feedback.
Administrative Support (20%)
Serve as primary contact to students, faculty, instructors, staff at the UW and at Boeing, and liaison to UW Continuum College, the graduate School, and/or the College of Engineering, as applicable.
Serve as principal assistant to the Director. Maintain calendars and schedule meetings with keen attention to duration, transportation time, and advance preparation time required. Keep Director apprised of meeting dates and appointments and provided necessary supporting materials in a timely manner. Issue reminders and notifications of important commitments and ensure that all official obligations are met.
Coordinate and organize ad hoc appointments and meetings as requested. Coordinate with other executive assistants on high-level meetings; ensure proper listing on network wall and calendars. Reserve rooms, arrange food or catering, and provide equipment and materials.
Contribute to the selection, management, and use of shared tools including payment processor, forms, CMS, and video platform.
Develop agendas and draft invitations, reports, surveys, and other professional correspondence, which may contain confidential or sensitive information.
Coordinate and organize appointments and meetings as requested by the Director. Reserve rooms, arrange food or catering, and coordinate equipment, A/V support, and materials.
Participate in college/school meetings and contribute to committees.
Serve on event teams to support large events, conferences and summer programs.
Other duties as assigned.


MINIMUM REQUIREMENTS
Bachelor's Degree in Communications, Administration, or a related discipline.
2-3 years of experience in administration, higher education, and/or academic advising.
Flexibility and willingness to work under pressure of frequent deadlines and changing priorities in a high-volume academic setting.
Exceptional written communication skills.
Ability to work independently with a high degree of reliability, accuracy and productivity.
Ability to work effectively and cooperatively with a wide range of internal and external constituencies on a daily basis, with a strong service orientation.
Demonstrated commitment to diversity and equity and ability to form productive working relationships with students, staff and faculty from diverse backgrounds.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.


DESIRED QUALIFICATIONS
Strong organizational and problem-solving skills; administrative creativity and strong initiative.
Experience managing professional/academic programs, working in an academic institution, working with faculty across departments or in an interdisciplinary unit.
Knowledge of or interest in engineering and data science education.
